How can we help?

Setting up TutorTracer, connecting your lesson platform, and getting the most from the app. Can't find it? Email support@tutortracer.com.

Getting started

Your free trial, step by step.

1. Request your trial

Click Start free trial and enter your name, work email and tutoring company. You'll be taken straight to a secure, single-use onboarding page.

2. Connect Lessonspace

On the onboarding page, enter your Lessonspace organisation ID (in Lessonspace under Settings → Organisation) and a Lessonspace API key (Settings → API; you can regenerate it there at any time).

3. Your recent lessons are analysed

TutorTracer pulls your last 7 days of lessons that have transcripts and analyses them. Lessons usually appear fully analysed within minutes of syncing.

4. Log in

We switch your account on and email you a login for app.tutortracer.com. The trial runs for 14 days or 400 lesson hours, whichever comes first, with no card needed.

Connecting your platform

Lessonspace, Zoom, Microsoft Teams and Google Meet.

Your connection is shown in Settings → Integrations. Changes to a connection are made by our support team, so email us and we'll set it up with you. These are the details we'll need.

Lessonspace

  1. Log in to your Lessonspace admin dashboard.
  2. Go to Settings → API and click “Generate API Key”.
  3. Copy the key, and your organisation ID from Settings → Organisation.

Transcription must be switched on in Lessonspace. Lessons run without transcription can't be analysed, and Lessonspace may charge for transcription.

Zoom

  1. Sign in at marketplace.zoom.us and choose Develop → Build App.
  2. Create a Server-to-Server OAuth app.
  3. Add the scopes meeting:read and recording:read, then activate the app.
  4. Copy the Account ID, Client ID and Client Secret.

Microsoft Teams

  1. In the Azure portal, open App registrations and create a new registration.
  2. Add the application permissions OnlineMeetingTranscript.Read.All and CallRecords.Read.All, and have a tenant admin grant admin consent.
  3. Create a client secret and copy its value (not its ID).
  4. Copy the Tenant ID and Application (client) ID.
  5. A tenant admin creates and grants a Teams application access policy for the app in Teams PowerShell. Allow up to 30 minutes for it to take effect.

Google Meet

  1. In Google Cloud Console, enable the Google Meet API and the Google Workspace Events API.
  2. Create a service account and download its JSON key.
  3. In the Google Workspace Admin console, add domain-wide delegation for the service account's client ID with the scope https://www.googleapis.com/auth/meetings.space.readonly.
  4. Choose an admin email for the service account to act as.
Using TutorTracer

Finding your way around.

Navigation

The left sidebar has Dashboard, Flagged Issues, Punctuality, Lessons, Tutors, Students and Library. At the bottom: Export, Email Reports, Billing, API, Settings and light or dark mode. Drag the sidebar's edge to resize it.

The lesson page

Tabs for Overview (summary and quality assessment), Flagged Issues and Transcript. Buttons to Download Report, Flag for Review, Add Note, Share Link and Watch Recording. “Go to transcript” on an issue jumps to the quoted line.

Tutor and student are the wrong way round

Click “Wrong way round? Swap” under the tutor and student details. The lesson's analysis re-runs. Admins, managers and reviewers can do this. If you see a yellow “Please confirm the tutor” banner, click Correct or Swap.

Two people with the same first name

Some platforms only provide first names. An admin can switch on Settings → Participant names to show the platform user ID next to each name, such as “Kieran (ID 4106467)”. It updates existing lessons too.

Flagged issues

Issues are grouped into Open, Under Review and Closed. Open one to see the quote, context and severity, then resolve or dismiss it. Bulk actions handle many at once. To stop a class of flags, add a plain-English rule in Settings → Issue Guardrails.

Quality rubric

Lessons are rated strong, adequate or needs development on each dimension in Settings → Quality Rubric. Lessons with unusable transcripts show “insufficient evidence” and are left out of averages.

Curriculum and policy documents

Upload PDFs of up to 20 MB in the Library: curriculum on the Curriculum tab, everything else on Policies & Contracts. Control which curriculum documents are used, and for which tutors or students, in Settings → Curriculum Checks. More on checks.

Exporting data

The Export page builds a CSV: choose a date range, filters and columns (lesson details, punctuality, quality ratings and evidence, issue counts, links), preview it, then download.

Email reports

Daily and weekly email reports are set up by our team. Email support@tutortracer.com with who should receive them.

API and webhooks

Open API in the sidebar to create keys (they start tt_live_ and are shown once, so copy it straight away) and to revoke them. The page includes documentation and a Response Builder. Webhooks send signed new-lesson and new-issue events.

Account, billing and data

The practical details.

Forgotten password

Use “Forgot password?” on the sign-in page.

Billing

The Billing page shows this month's lessons, hours, tier and estimated charge. Payments are by card through Stripe. If adding a card fails, email support.

Consent for recording

Your organisation is responsible for telling tutors, students and parents that lessons are recorded, transcribed and analysed, and for any consents the law requires. See clause 8 of the Account Terms.

Deleting data

If someone asks for their data to be deleted, you can action it in the app or ask support to help. When an account ends, data can be exported for 30 days and is then deleted.
