Issue & compliance monitoring

Every lesson read. Every issue evidenced.

TutorTracer reads the transcript of every lesson and flags the moments your safeguarding and operations teams need to see: inappropriate discussion, attempts to take students off-platform, disparagement of your organisation, and teaching errors. Each flag comes with the tutor's exact words and the time they said them.

Free for 14 days or 400 lesson hours, whichever comes first. No card needed.

Quote
“Honestly, just message me directly and we can do this for half the price without the company.”
Why it was flagged

What it flags

Four categories, tuned for tutoring.

Generic content filters miss what matters in a lesson and flag what doesn't. TutorTracer looks for the conduct that tutoring companies actually deal with.

Inappropriate discussion

Personal, adult or unprofessional topics raised with a student: dating, drinking, oversharing, crude language, or anything else that doesn't belong in a lesson.

Poaching risk

A tutor suggesting private lessons, sharing personal contact details, or offering to work around your organisation's fees.

Disparagement

Negative remarks about your organisation, its pricing or its staff, made to a student or parent during a lesson.

Teaching error

Content that looks wrong or off-syllabus. Teaching errors can be checked against the curriculum documents you upload.

Lateness is tracked separately on the Punctuality page.

Evidence

The quote, the time, and the recording.

A flag is only useful if you can check it quickly. Every issue links to the exact line in a speaker-labelled transcript, and to the lesson recording on your platform.

  • A verbatim quote and the timestamp it was said
  • Severity from 1 to 10, plus context and an explanation of why it was flagged
  • “Go to transcript” jumps straight to the quoted line
  • “Watch recording” opens the platform recording 15 seconds before it

Review workflow

A queue your team can actually clear.

Issues arrive in an Open queue. Your reviewers move them to Under Review while they look into it, then close them as resolved or dismissed. Nothing is decided automatically.

  • Open, Under Review and Closed tabs, filtered by category
  • Bulk actions to dismiss or resolve many issues at once
  • Notes, shareable links and a downloadable lesson report
  • Flag any lesson for review by hand, even if nothing was flagged

Issue Guardrails

Teach it what isn't a problem.

Every organisation has its own norms. Write rules in plain English and TutorTracer stops raising that class of flag across your whole organisation, so your queue stays focused on the issues that matter to you.

  • Rules written in plain English, not keyword lists
  • Applied organisation-wide, including to new lessons
  • Suppressed issues can still be included in CSV exports
  • Check flagged issues against your own policies and contracts with a breach check

See Curriculum & Policy Checks for how breach and curriculum checks work.

Issue GuardrailsSettings
Plain-English rules. Flags that match a rule are suppressed across your organisation.
Active rules
Tutors mentioning which university they study at is fine.
Rescheduling lessons through the parent is not poaching.
Casual chat about weekend sport is not inappropriate.
How it works

From finished lesson to flagged issue.

  1. The lesson syncs

Once your lesson platform has a transcript, TutorTracer pulls it in along with the lesson details and recording link.

  2. Tutor and student are identified

From the platform's roles where it labels one teacher, otherwise from the conversation itself, cross-checked against who talks most.

  3. Issues are flagged

Each issue is categorised, given a severity, and tied to a verbatim quote and the exact timestamp of that quote.

  4. Your team reviews

Issues appear in the Flagged Issues queue, usually within minutes of the lesson syncing, ready to review and close.

Who it's for

Built for the people accountable for lessons.

Safeguarding leads

See every concerning moment across every lesson, with the evidence to act on it, instead of relying on a student or parent to report it.

Operations and QA managers

Replace random spot checks with complete coverage. Review the lessons that need attention and skip the ones that don't.

Founders and directors

Know that what's said in your lessons reflects your brand, and catch poaching before it costs you a family.

Getting issues out

Reports, exports and an API.

Email reports

Daily or weekly summaries of new issues, sent to the people you choose. Our team switches these on for you.

CSV export

Choose a date range, filters and columns, preview, then download. Issue counts, quality ratings and links included.

API and webhooks

Pull lessons, issues, tutors and students over a REST API, or receive signed webhooks when a new issue is flagged.

FAQ

Questions, answered.

Does TutorTracer replace human review?

No. It is a decision-support tool. Flags are generated by AI models and can be incomplete or wrong, so every issue is there for a person on your team to check before anything is done about it.

How quickly do issues appear?

A lesson is usually fully analysed within minutes of it syncing from your platform. The lesson syncs once the platform has produced its transcript.

Which lesson platforms does it work with?

Lessonspace, Zoom, Microsoft Teams and Google Meet. The lesson needs a transcript: on Lessonspace, that means transcription must be switched on. See the Help Centre for setup.

Can we stop certain things being flagged?

Yes. Issue Guardrails let you write plain-English rules, such as “rescheduling through the parent is not poaching”, and matching flags are suppressed across your organisation.

What if the tutor and student are the wrong way round?

Click “Wrong way round? Swap” on the lesson page. The lesson's analysis re-runs with the roles corrected. Where the platform's roles are unclear and our checks disagree, a banner asks you to confirm the tutor.

Are issues flagged for students' behaviour too?

The categories focus on tutor conduct and teaching. Everything said in the lesson is in the transcript, and you can flag any lesson for review yourself.

Stop finding out from parents.

Connect Lessonspace in a couple of minutes and TutorTracer analyses your last seven days of lessons straight away. Or book a walkthrough and we'll show you the product on demo data first.
